Policy for Educational Session Attendee Conduct

  • All attendees are required to present a preregistration document, or proof of registration, or a badge indicating registration for a meeting, prior to attending an event.
  • No recordings of any kind are permitted in the session room, including, but not limited to, audio recordings, videotaping / recording, photography.
  • Unless in the related health field, spouses and children are not permitted to attend an educational session.
  • ASCRS•ASOA & EyeWorld are strong believers in education for all members of the ophthalmic industry from physicians and office staff through industry sales representatives.  The sessions are open to all within the ophthalmic field presenting the correct credentials.
  • Representatives of an ophthalmic industry companies are welcome to attend the events with the following restrictions:
    • Industry representatives may not congregate outside of the entrance to an educational session.
    • Industry representatives should ensure that Physicians & Ophthalmic Staff receive priority seating in session rooms.  If rooms become crowded, representatives should vacate the room so that attendees may enter.
    • Industry representatives may not stand at the back of a session room.
    • Industry representatives may not approach attending physicians or faculty within the educational session room or immediate access points for any reason, nor may they distribute literature or leave literature for distribution within the session room or reception area. Discussions with attendees and/or faculty should be confined to the exhibit hall or other areas not adjacent to the educational sessions.
    • Industry representatives may not pose questions during the educational session.
    • ASCRS•ASOA & EyeWorld have enacted guidelines on the numbers of industry representatives per company allowable within any particular session.
      Attendance is subject to the following:
      • Events with >1000 physician attendees          16
      • Events with 500-1000                                         12
      • Events with 200-499                                             8
      • Events with <200                                                   6
    • ASCRS•ASOA & EyeWorld reserve the right to ask industry representatives to leave an educational event if it deems a representative has not met the above requirements or it feels the overall ratio of industry representatives to physician attendees exceeds an appropriate level.
